This statement describes how and when Wikimedia collects, uses, and shares the information we receive from session submissions.

Please note that the session submission form is powered by LimeSurvey and Pretalx; all submissions through LimeSurvey will be duplicated to Pretalx for review and event management. LimeSurvey's use of your information is governed by their Privacy Policy and Terms and Conditions. Pretalx's use of your information is governed by their Privacy Guidelines and Terms of Service.

Purpose

The Wikimania 2022 Core Organizing Team is looking for session proposals that are:

  • fun, celebratory and engaging
  • regional, shining a light on communities across the movement through the festivities
  • and that welcome newcomers, creating a safe space for first-time attendees that illuminates and inspires.

This year's Wikimania will bring Wikimedians together to create, celebrate and connect, virtually and with in-person components.

Information Collection and Use

The session submission form collects the free-form and defined responses you provide to the questions asked. The information will be used to make programming decisions and event management. Please note that the information collected may be used to gather community feedback about the session prior to the event; this option is provided within the session submission form.

Information Sharing and Disclosure

Accepted submissions and proposed submissions that have selected to be made public will be shared publicly in the following manner. The Wikimania online program will include each speaker's full name or Wikimedia username (if Wikimedia username is provided and preferred), speaker biography, profile picture (if provided and on Wikimedia Commons), organisation and position held (if applicable), as well as all details about the session. Other personal information will not be published (e.g. real name when Wikimedia username is also provided and preferred, pronouns, country of residence, email addresses, emergency contact information).

Raw data will only be shared with the Wikimedia staff, contractors, and volunteers who need to process this information and are subject to non-disclosure obligations, with the exception of the circumstances described below.

We may disclose any collected information when required by law, when we have your permission, when needed to protect our rights, privacy, safety, users, or the general public, and when necessary to enforce our Terms of Use or any other Wikimedia policy.

Licensing of Submissions

By answering the free-form response questions about your session, you agree that we may record your answers and agree to donate them to the public domain under the terms of Creative Commons Zero 1.0 (full text available at creativecommons.org/publicdomain/zero/1.0/).

Important Information

Wikimedia Foundation is a global organization committed to promoting free and open knowledge. In submitting your response, you understand that the information transferred to Wikimedia Foundation will be collected, transferred, stored, processed, disclosed and otherwise used in the U.S. as described in this Privacy Statement. You also understand that the information may be transferred by us from the U.S. to other countries, which may have different or less stringent data protection laws than your country, in order to carry out the aforementioned purposes and objectives.

Wikimedia understands the importance of user privacy. For this reason, we work to protect our users from the unauthorized disclosure or use of information we maintain. The raw data collected will be deleted, de-identified, or aggregated within 30 days of Wikimania. See our data retention guidelines for more information.
