Collection & Use of Info
Why we collect your information
This project will help us identify topics for impact, innovate in free knowledge, and increase the sustainability of our movement. We will use the information you provide to:
- Run the associated event or meeting
- Find applicants, participants, or nominations
- Communicate with you further
- Advance knowledge through open research and study

How we collect your information
Zoom is used to host the meeting or stream the event; please read their Privacy Policy and Terms of Service. The external service that collects responses and registrations for the event is Pretix; please read their Privacy Policy and Terms of Service. The paper submission process is powered by OpenReview, which means OpenReview's use of your information is governed by their Privacy Policy and Terms of Service.
What information we collect
If you choose to participate, we will ask you to provide the following types of information:
- Responses to questions
- such as defined and free-form responses
- Contact information
- such as name, username, email address
- Demographic information
- such as nationality, gender
- Media submissions
- such as video, photo, slide decks
- Recordings
- such as video, audio, photo
Sharing
How we share your information
Publishing: Contact information submitted during event registration will not be shared publicly. Recordings taken or live-streamed during the event will be published. Please turn your camera off and use a display name if you do not wish to be recorded. Media submissions may be included in event recordings and/or published separately. We will publish identifying data (such as direct quotes with attribution) and non-identifying data (such as anonymous quotes, statistics, or other aggregate data). Demographic information will only be published as non-identifying data. To facilitate this publishing, you agree to license your copyrightable contributions under the terms of Creative Commons Attribution-ShareAlike 3.0 and 4.0.
Access: Raw data will only be shared with Wikimedia staff, contractors, service providers, and volunteers who need to process this information and are subject to non-disclosure obligations.
Other sharing: We may disclose any collected information when required by law, when we have your permission, when needed to protect our rights, privacy, safety, users, or the general public, and when necessary to enforce our Terms of Use or any other Wikimedia policy.

How long we keep your information
The raw data we collect will be deleted, de-identified, or aggregated within 90 days. See our data retention guidelines for more information.
